Student Registration – 2025 All-State Honor Ensembles

Step 1 – Learn about the All-State Registration Process:

Band, Orchestra, and Jazz Ensembles only:

  1. Download the welcome letter and read it all the way through for instructions:  Welcome Letter
    (Please do not request access. Students will need to log out of their school email account to access this letter as most districts block other Google drives.)
  2. Band, Orchestra, and Jazz Ensemble Schedules  (Link to folder with separate schedule documents for Jazz Ensembles, Bands, and Orchestras) Arrival times are also listed in the Welcome Letter linked above and for some ensembles they are listed on the list of accepted students. Please check both. (Please do not request access. Students will need to log out of their school email account to access this letter as most districts block other Google drives.)
  3. Participation dates are Wednesday, January 15th, 2025 – January 19th, 2025. Jazz students arrive Wednesday, January 15th, 2025. All others arrive on Thursday, January 16th, 2025
  4. Registration deadline is December 2, 2024.

Step 2 – Order All-State Sweatshirts and More:

CASMEC All-State Merchandise Store –  *Please note* Each All-State Student will receive a complimentary t-shirt with their participation fee. You can select your shirt size (adult sizes) in Step 4, below.  Merchandise ordered by the deadline will be passed out at CASMEC. Merchandise will be available in very limited quantities at the conference, so purchasing in advance is strongly advised. This is the only time to order “Honor Musician” apparel. Apparel sold at the conference will be generic CASMEC apparel. Online all-state apparel sales end on Monday, December 15, 2024.

CASMEC All-State RecordingsProviding a recording of All-State performances is dependent on rights granted by the copyright owner. CASMEC is working to secure the rights so that every participant will receive a recording of at least a few of their performance pieces. Each All-State student will receive a video and audio recording of as many of their performance pieces as possible.

Step 3 – Student Contract and Medical Release Form and Payment:

Student Contract and Medical Release Form:

  1. The Student Contract and Medical Release Form will be provided via DocuSign after you complete Step 4 of the student registration (below).
  2. Please watch for a DocuSign notification in the student and the parent email so that you can both electronically sign the agreement.
  3. The Student Contract and Medical Release Form must be signed separately by each party. The student will receive their own notification and the parent will receive their own notification. If the same email is used for both the student and the parent, please be aware that the email notifications may be grouped depending on your email provider. Please click the link in each email, not just one email.
  4. DocuSign emails will be sent manually by our team once per day. Please check your spam folder if you do not see the DocuSign email in your inbox.
  5. If you have completed Step 4 of the registration and have not received your DocuSign email after 48 hours, please contact Trish Adams at tadams@cbda.org.

Participation Fees: All-State Ensemble participation fees are non-refundable and payable when you click the “continue to payment” at the bottom of this page.

Step 4 – Register for All-State Online:

If you need to update previously entered information, please email tadams@cbda.org. Please do not submit a second form unless instructed to do so.

Please do not use a student school email address. Most schools block external emails from reaching student accounts so you may miss valuable information.

Please check each year below that you participated in an All-State Ensemble in the past.

All-State Students will receive an All-State T-shirt included in the cost of participation fees.. Please indicate your preferred size here. All shirts should be pick-up at student check-in.

Students participating as part of the JHS Jazz Band, HS Jazz Band or HS Jazz Choir ensembles will perform on Friday, January 17 at 7:00 PM. Do you plan to leave the conference after your performance or will you be staying another night under CASMEC supervision in the hotel?

Students participating as part of the HS Wind Symphony or HS Symphony Orchestra ensembles will perform on Saturday, January 18 at 7:00pm. Do you plan to leave the conference after your performance or will you be staying another night under CASMEC supervision in the hotel?

CASMEC will provide a representative at each station to guide you through your pick up. The charter bus will be stopping at each location (airport, train, and bus) to pick students up, and will be making drop-offs at the appropriate hotels. The charter bus is for All-State students only.

*All hotel check-outs will be done with CASMEC Student Host and Chaperones. Students do not check-out at the hotel front desk.

Student Checkout: All students must be checked out from the Convention Center after their concert. Students may not be taken directly from the Memorial Concert Hall.
ALL HS/JHS Jazz students: Students must be checked out of the hotel by 9:30 AM on Saturday Morning. We recommend departure times be reserved for Saturday at 10:30 AM or later. ALL Vocal Jazz students: Students must be checked out of the hotel by 11:30 AM on Saturday Morning. We recommend departure times be reserved for Saturday at 12:30 PM or later.
High School Wind Symphony and Symphony Orchestra Students: Students must be checked out no later than 9:45 AM on Sunday. Students may check out from the Convention Center after their concert at 9:00 PM on Saturday. All Wind Symphony and Symphony Orchestra students must indicate in their registration when they plan to depart, either Saturday evening or Sunday morning. In order for CASMEC to plan appropriately this information will not be flexible. We recommend departure times be reserved for at least one hour after your check-out time and date. Students will not be permitted to leave the concert early.
JHS Concert, JHS String, and HS String Orchestra Students: Students can check out after their performance at 10:30 AM at the Convention Center on Sunday. We recommend departure times be reserved for Sunday at 12 PM or later. High School Concert, Symphonic Band, and Golden State Band Students: Students can check out after their concert by 1:45 PM at the Convention Center on Sunday. We recommend departure times be reserved for Sunday at 2:45 PM or later. Students will not be permitted to leave the morning concert early.
Junior High Band Students: Students can check out after their performance by 3:30 PM at the Convention Center on Sunday. We recommend departure times be reserved for Sunday at 4:30 PM or later.

Roommate Request:
Rooms for ALL ensembles will be pre-assigned. Students can request roommates and CASMEC will do its best to try and accommodate all requests. However, requests are not a guarantee. Students may request UP TO THREE roommates. Students will be housed four to a room in standard hotel rooms with two beds. All students will be placed in a room with students in the same type of ensemble, at the same hotel, and in the same grade level, meaning HS with HS and JHS with JHS. You will not be able to request a roommate if they do not match all three categories listed above. There is NO guarantee for roommates, but CASMEC will do its best to house students with their preferred roommates as indicated in your registration form.

Any students for whom this policy represents a potential violation of their right to privacy or religious expression should notify the CASMEC Student Host at the time of acceptance for the ensemble band, and CASMEC staff will work with the students and parents/guardians to find an acceptable arrangement.

By registering for/attending All-State, I understand that I must observe CDC, CDPH, and local health department guidance on infectious diseases. Attendees are encouraged to conduct a health self-evaluation before attending the conference and should refrain from attending if they have any symptoms of illness.

With full knowledge of the risks involved, therefore, I hereby release, waive, and discharge the CASMEC partners, their officers, directors, employees, contractors, and agents, from any and all liability, loss, damage, claims, demands, actions, and causes of action whatsoever, including reasonable attorneys’ fees, directly or indirectly arising out of or related to any loss, damage, injury, or death, that may be sustained by me while participating in this event or while in, on, or around the event.
